This FAQ covers everything you need to know about your transition from the Groove Knowledge Base to InstantDocs. It explains how to log in, what changed during the migration, how your content is handled, and what to expect with billing, permissions, editing, and upcoming features. If you are already using Groove, you are fully covered on licensing and can begin using InstantDocs immediately.

1. How do we log in to InstantDocs?

You log in using the same email address you used for Groove. Authentication is handled via a one-time password sent to that email. Your browser will remember the session, so you generally will not need to re-enter an OTP unless you clear your cache.

2. Can we use any email address to log in, or only the main Groove admin?

Anyone who previously had access to the Groove Knowledge Base can log in to InstantDocs using that same email address.

3. Will Groove users automatically carry over as InstantDocs users?

No. Only users who existed at the time of the initial import are created in InstantDocs. Any new users added to Groove after the import will not appear automatically. You must invite them manually via the Invite Members feature.

4. Do we need to buy a separate InstantDocs license?

No. Your existing Groove subscription covers the InstantDocs license, and everything is free until the migration window ends.

5. Can we still edit articles in the Groove Knowledge Base?

No. Your Groove KB is now in view-only mode. You cannot create new content or edit existing articles there.

6. How long will the Groove Knowledge Base remain accessible?

It will remain available in view-only mode until the end of Q1 2026.

7. If we make changes in Groove, will they sync with InstantDocs?

No. After migration, the sync is disconnected. All future edits must be done directly inside InstantDocs.

8. Is our migrated content private?

Yes. If your Groove KB was private, it stays private in InstantDocs. Only invited members can view the content.

9. Can we create a public knowledge base later?

Yes. While your current setup is private, InstantDocs supports switching to a public Knowledge Base whenever you are ready.
